About the role


Job Title: HR Administrative Assistant (Part-Time)

Industry: Nonprofit / Association

Location (city, state): Washington, DC

Assignment Type: Contract-to-hire (through end of September, with potential for extension/conversion)

Pay: $25–28/hr (depending on experience)

Benefits: This position is eligible for medical, dental, vision, and 401(k).

Work Schedule:

  • Part-time, 20–24 hours per week
  • Tuesday–Thursday, 9:30 AM – 5:30 PM
  • Hybrid schedule with two onsite days and one remote day

About Our Client:

Addison Group is partnering with our client, a mission-driven organization, to identify a Part-Time HR Administrative Assistant. This team operates in a collaborative, fast-moving environment and is seeking someone who can provide reliable day-to-day support across HR operations.

Job Description:

This is a hands-on HR support role responsible for keeping daily operations running efficiently. The position will assist with recruiting coordination, employee records management, onboarding and offboarding activities, and a variety of administrative and project-based tasks. The ideal candidate is highly organized, adaptable, and eager to contribute wherever needed.

Key Responsibilities:

Recruiting Support:

  • Coordinate and schedule candidate interviews across teams
  • Track and maintain recruiting-related expenses and invoices
  • Provide general support for talent acquisition efforts

Onboarding & Offboarding:

  • Prepare and maintain new hire documentation in both digital and physical systems
  • Assist with coordinating exit processes and scheduling exit meetings
  • Ensure employee records are accurate and up to date

HR Operations & Administrative Support:

  • Provide day-to-day support to the HR team on ongoing initiatives and special projects
  • Manage incoming calls and route inquiries appropriately
  • Maintain office supplies and coordinate orders as needed
  • Organize HR file storage systems and ensure documentation is properly maintained
  • Support planning and execution of internal events such as trainings, meetings, and employee programs
  • Take meeting notes and help track follow-ups and action items
  • Process vendor invoices and review for accuracy, including benefits-related billing
  • Assist with reporting on a recurring basis (daily, monthly, quarterly)
  • Reconcile departmental expenses and resolve discrepancies
  • Support general office logistics including mail distribution and special orders

Qualifications:

  • 2+ years of administrative experience, ideally supporting HR or a similar function
  • Experience with scheduling, event coordination, and office support
  • Familiarity with HR systems such as ADP and applicant tracking systems (ATS), Greenhouse preferred
  • Proficiency with Microsoft Office tools, including OneDrive and SharePoint
  • Strong attention to detail with the ability to manage data, reporting, and billing tasks accurately
  • Ability to coordinate logistics for meetings, events, and special projects
  • Highly organized with the ability to manage files, supplies, and administrative processes
  • Comfortable working in a fast-paced environment with shifting priorities
  • Associate’s degree required
